General Requirements
Working under a Builder/Head Contractor
Where an AV integrator is engaged under a third party (such as a head contractor or a project manager), the requirement for open collaboration between DTS AV and the AV Integrator remains crucial.
It is the responsibility of the Integrator to ensure that any discussion that may have contractual implications is correctly communicated back to the Head Contractor and formalised approval processes are followed.
It is the responsibility of the Head Contractor to ensure that the following documentation is provided to DTS AV for review and comment prior to procurement and installation:
- Project timeline, including AV design, installation and commissioning milestones
- Audio Visual bill of materials
- Audio Visual schematics/line diagrams
- Co-ordinated Elevations of all walls containing Audio Visual Equipment (typical elevations are acceptable with approval)
- Co-ordinated RCP’s – at minimum, Electrical, Mechanical and Audio Visual
- Co-ordinated GA’s – at minimum, Furniture, Electrical and Audio Visual
- Audio Visual ITP’s
At times, Curtin may appoint a consultant in the role of AV Consultant. This consultant is in addition to the DTS AV team and provides probity and documentation assistance. Design approval and ownership remains with DTS AV.

Note that DTS AV Audit requires a window of not less than 1 week and must occur at least 1 week prior to Practical Completion unless previously agreed by DTS AV. Over this audit period, there shall be no significant works on AV, networking and electrical systems beyond defect rectification.
Should significant faults be found during the audit, DTS AV will communicate that there is a general failure of the audit and will return after an agreed period to restart the Audit from the beginning.
DTS AV will only supply their signoff on Practical Completion once an audit has been completed and all minor defects accepted.
Meetings and Communication
The project framework will typically specify the number, length and location of meetings in the Project Communication Plan. For capital projects, a Project Control Group (PCG) is the mechanism for coordination of trades and personnel involved.
DTS Audio Visual Project Manager shall be invited to PCG meetings as an optional attendee.
Project Artefacts
The project will produce a number of artefacts over the duration of the project life cycle. Some of these are listed below and should be maintained on a regular basis and made available to the PCG.
- Communication Plan – details the type, audience and frequency of communications over the life of the project e.g. meetings, minutes, status reports (including issues), end-of-phase reports, system and user documentation, close-out report etc.
- Issues Register – detailed log of issues, status, assigned owner, resolutions etc.
- Change Management Plan – detailed list of items relating to issues and changes and how they will be handled by the project and what items will need to be escalated to Curtin decision-making bodies (e.g. University’s Change Advisory Board).
Critical path
Modern AV systems are integrated into the infrastructure and fabric of a building therefore coordination is required during construction with the other trades and professions such as electrical, mechanical and interior design. Much of the preliminary work involving cable runs and communication racks needs to be incorporated into the earlier stages of construction. However, for the majority of AV installation works, the AV Integrator will require a clean site and all other works to be completed before commencing. This has a flow-on effect, compressing the installation time in the lead up to practical completion.
In recognition of this, and to assist builders and project managers understand the process involved, the University has created a critical path process flow and associated narrative for Audiovisual system installation, as shown in Appendix A.
The Head Contractor and AV Integrator is to ensure that sufficient time for auditing is available prior to practical completion.
Working onsite
All contractors working on site are required to complete an online induction within RapidGlobal before working onsite at the university. Additionally they are required to check in and out from site daily. It is the contractors responsibility to ensure they are familiar with all the required permits and requirements to work on site at Curtin.
The DTS representative will act as the Permit Manager in DTS initiated projects.
University associate
At the discretion of the DTS–AV Project Manager, members of the AV Integrator's team may be offered University Associate status. Becoming a University Associate allows issuance of an ID Card with building access from 6am-6pm 7 days a week, and gives that member a Curtin ID number and password for logging into Curtin's online systems.
Associate access expires each year in November.
Due to the administrative overhead of Associates, DTS asks that integrators nominate a dedicated team.
The Associate is required to complete the professional development within Curtin's iPerform system to retain this priviledge.
Integrators will require at least 1 University Associate in order to undertake typical project duties.
